Department Overview:

Part of the Office of Student Transition and Family Engagement, the Transfer Transition Program was created in 2010 to support and improve the experience of transfer students at UW–Madison. We want every transfer student to have access to the resources they need for personal and academic success, to feel a sense of belonging, and to create their own unique
Wisconsin Experience. We work towards this goal by shaping a campus environment that encourages and supports positive academic and social engagement. Whether a student is preparing to transfer or have already enrolled at UW–Madison, the Transfer Transition Program can assist them in making the transition of becoming a UW student.

Only open to undergraduate students (graduate students are not eligible for this role).

Transfer student status highly preferred.

Organized: This role has many overlapping deadlines in addition to overseeing the deadlines of supervisees.

Creative & Open Minded: This could be in traditional arts but includes creative problem solving or event planning

Position Summary/Job Duties:

The Transfer Student Coordinator position is divided into 3 main job functions: (1) Community Outreach & Peer Mentorship, (2) Operations & Project Management, and (3) Communications & Marketing. Each job function includes competencies identified by the National Association of Colleges & Employers (NACE) to be highly important to employers but under-developed in recently hired college graduates. Each job function develops several of the identified competencies: critical thinking, communication, teamwork, equity & inclusion, professionalism, technology, career & self-development, and leadership.

The Transfer Transition Program focuses most on growth when working with student staff. Under each job function, we also include the type of training and support you can anticipate in order to grow these skills.

1. Community Outreach & Peer Mentorship
NACE competencies: critical thinking, leadership, professionalism, communication, equity & inclusion, teamwork


a. Responsibilities & Tasks:
• Serve as a representative of the Transfer Transition Program and promote TTP services
◦ Collaborate with campus partner offices when appropriate such as giving a presentation at an event or table at resource fairs to promote TTP
◦ Participate in campus outreach campaigns such as Wisconsin Welcome, Parent & Family Weekend, National Transfer Student Week, etc.

• Provide support and guidance for new and continuing transfer students
◦ Conduct 1-on-1 meetings with prospective, admitted, or enrolled students
◦ Engage with students at the Transfer Engagement Center and at TTP events
◦ Foster positive, inclusive, and supportive climate in student spaces
◦ Facilitate connecting transfers with new people, resources, & experiences


b. Outreach & Mentorship Training & Development Provided by TTP:
• Communication strategies such as Motivational Interviewing & Positive Psychology
• Explore & grow leadership through challenge-support model and strengths-based coaching
• Exploration of theories and practices related to social justice, identity development, student development
• Strategies for difficult conversations & giving feedback

2. Operations & Project Management
NACE competencies: critical thinking, leadership, professionalism, communication, teamwork, technology

a. Responsibilities & Tasks:
• Maintain standard operations of the Transfer Engagement Center
◦ Support on-going programs such as TTP’s monthly lunch series at the TEC by tending to food & space, tracking attendance, & submitting required documentation
◦ Ensure quality look and feel such as conducting appropriate cleaning procedures, opening/closing tasks, updating space bulletin boards & PowerPoint

• Support or lead TTP events & initiatives
◦ Work TTP events throughout the year (12 fall/10 spring) with opportunity to plan events
◦ Participate in & promote National Transfer Student week campaigns
◦ Facilitate conversations between students who attend events, create a welcoming atmosphere, and provide a high-quality experience


b. Operations & Project Management Training & Development Provided by TTP:
• Teambuilding experiences to ensure a cohesive and supportive teamwork at events
• Regular coaching from current interns and pro-staff with an emphasis on organization, time management, efficiency, and problem-solving strategies
• Learn to create tools such as Q-2-Q’s, procedure guidelines, planning timelines to effective manage projects

3. Communication & Marketing
NACE competencies: critical thinking, leadership, professionalism, communication, equity & inclusion, teamwork, technology

a. Responsibilities:
• Develop content using a variety of media platforms to promote TTP or our values
◦ (1) content for heritage month bulletin boards displayed outside the TEC; (2) Instagram posts and stories; (3) videography scripts and scene sequences; (4) event descriptions; (5) weekly newsletter; (6) website content; (7) emails to campus partners or students… etc.

• Coordinate delivery of TTP media
◦ Deliver content at strategic times with continuity across all communication teams
◦ Find new and creative ways to connect with students and campus partners

• Act as a communications representative of the Transfer Transition Program
◦ Respond to emails, social media messages, or text in ways that align to TTPs values of inclusion, compassion, and responsibility


b. Communications & Outreach Training & Development Provided by TTP:
• Public speaking support and practice
• Development of expertise related to transfer students & resources at UW-Madison
• Support navigating regularly used communication & design platforms such as Canva, WordPress, Instagram, Hootsuite, LinkTree, Eloqua, EnvatoElements, EZ Texting, Calendly, TikTok, etc.

Additional duties may include participating in outreach efforts with campus stakeholders, taking on special projects or collaborations with campus partners, and joining other efforts advocating for transfer students. This position reports the Transfer Student Engagement Coordinator who directs the Transfer Transition Program.
