Department Overview:
The Dean’s Office oversees the School’s overall operations, including academic programs, budgeting, HR, research support, student affairs, and more. It also manages key priorities such as Impact 2030, the Teacher Pledge program, scholarships, and graduate student funding. The Dean’s Office supports all 10 academic departments and collaborates with key affiliates such as WIDA, the Wisconsin Center for Education Research (WCER), the Cooperative Children’s Book Center, Tandem Press, and more. The Dean’s Office also is the central point of contact with campus leadership and engages with a variety of partners to shape and advance the School’s strategic vision.

Qualifications:
Candidates should have strong customer service and problem-solving skills, attention to detail, and communication skills. A person in this position may be privy to confidential information, so candidates must demonstrate trustworthiness. Experience working independently as well as in a team environment, and the ability to lift 25 lbs. is required. Weekly minimum hours range between 10-15 hours per week during our standard open hours which range from 8:00 am – 5:00 pm on weekdays. In-person hours are required with flexible working hours dependent upon the candidate's schedule and office’s needs. Availability during winter and summer break periods preferred.
Knowledge, Skills & Abilities :
The Office Assistant is responsible for supporting the day-to-day operations of the Dean’s Office at the School of Education. We are looking for a professional and enthusiastic individual who will work closely with Dean’s Office staff to keep the office running efficiently and smoothly.
Position Summary/Job Duties:
Responsibilities: 1. Office and/other administrative tasks including, but not limited to, document and meeting materials preparation and disposal, office, meeting room, and kitchenette/copy room tidying, assistance with ordering and stocking supplies, watering plants, printing, copying, scanning, filing, etc. 2. Electronic documentation, data storage and e-filing, email management, content creation, graphic design, and online data/material searches. 3. Work with Dean’s Office (DO) Staff to organize paper and electronic archival files. 4. Work with DO Staff to ensure the various committee meetings run smoothly: prepare nametags, turn on the screens, move tables, screen share, and support collection of meeting materials. 5. Serve as the backup for the Executive Assistant by being the first point of contact for visitors to the DO. Provide reception support, including answering phones, welcoming, and assisting guests. 6. Assist the DO Policy and Planning Analyst and DO Academic Planner with weekly data entry or other administrative tasks and short-term projects. 7. Perform other miscellaneous duties and projects as needed to support the School of Education and Dean’s Office.
