Department Overview:
The Open Seat Food Pantry strives to provide healthy and nutritious food and hygiene products for students at the University of Wisconsin-Madison. We aim to ensure all students can focus on their success rather than the source of their next meal. We are supported by the Associated Students of Madison (ASM), the student government on campus, representing the needs of all enrolled students. ASM is the home of student shared governance, and offers advocacy and programs that enhance the student experience and the Wisconsin Experience.

Schedule:
Must be available to work 15 - 20 hours/week in Summer 2026. The schedule has yet to be determined. Must be available to work 15 hours/week during the academic year, including the following operating hours: Wednesday: 3:30pm - 8:00pm Monday 12:00pm - 2:00pm and/or Friday: 11:00am - 1:00pm (preferably both)

Qualifications:
Graduate student with experience in issues related to food insecurity, basic needs, community engagement. Preference will be given to candidates with managerial experience.

Position Summary/Job Duties:
1. Staff Supervision & Team Leadership - Ensure the Undergraduate Directors and Interns successfully fulfill their job requirements - Supervise and support student staff in daily operations and long-term projects - Manage staff conflict and facilitate resolution - Approve and monitor student staff hours for student staff - Assist in hiring, onboarding, and training new staff members - Delegate responsibilities across the team based on operational needs - Run and facilitate weekly staff meetings - Provide mentorship and leadership development to student staff - Coordinate scheduling at the beginning of each semester and break 2. Operations & Pantry Oversight - Oversee day-to-day undergraduate operations of The Open Seat - Be present for at least one food delivery per week - Provide hands-on support during pantry operations - Assist with retail recovery partner pick-ups as needed (e.g., GoPuff, Madison Area Food Pantry Gardens, Target) - Be available to provide assistance with ordering deliveries from Second Harvest Food Bank - Participate in required food safety trainings 3. Budget & Financial Management - Manage the Open Seat budget - Log and track all spending to ensure alignment with allocated funds 4. Reporting & External Relations - Report monthly distribution numbers to Second Harvest by the 5th of each month - Serve as a liaison with Second Harvest Food Bank and other off-campus collaborators - Manage the the primary inbox, responding to inquiries on a daily basis and delegating emails appropriately 5. Campus Engagement - Engage in food access advocacy initiatives - Work in collaboration with on-campus departments on initiatives related to student food access 6. Volunteer & Drive Coordination - Assist undergraduate directors with volunteer coordination systems and food drives as needed - Support recruitment, scheduling, and training of volunteers - Ensure smooth integration of volunteers into pantry operations - Assist with the coordination of food and hygiene drives
Physical Demands:
Must be able to frequently lift and push 50+ pounds and stand for hours at a time.
