Department Overview:
The Wisconsin Union, often referred to as "the heart and soul" of the University of Wisconsin-Madison, has enhanced the lives of members and visitors since it was founded in 1907. Since 1928, when the doors to Memorial Union opened, the Wisconsin Union has served as the living room of the UW-Madison campus. The Union connects students, faculty, staff, members and visitors through shared cultural, social and recreational events and experiences.

Schedules are somewhat flexible, with the majority of the hours between Monday-Friday- 8:30am-4:30pm During the summertime hours will vary requiring some weekends and evenings as necessary depending on the conference schedule

Position Summary/Job Duties:
Assist with coordinating conference attendees’ registration through online software, email, and phone
Reserve conference rooms for banquets, poster sessions, meals, and any other events and coordinate audio visual and set up needs within event management software (EMS) and help create custom room diagrams
Be onsite and manage registration area during conferences
Perform various clerical tasks: copying, word processing (Microsoft Word), maintaining spreadsheets (Microsoft Excel)
Helping prepare program books and registration materials for various conferences and run on-site conference registration desk
Qualifications:
Interest in a career in events/conference planning or project management.
Experience in written and verbal communication with clientele.
Ability to work with diverse groups and adapt to change quickly.
Ability to work in a professional office, both as part of a team and independently.
Effectively and efficiently, manage multiple projects while adhering to tight deadlines.
Strong knowledge and experience with spreadsheets, especially Microsoft Excel.
Previous customer service and office work experience is required.
*A minimum 4-month commitment is required for this position due to software training. Due to summer scheduling requirements, all summer commitments (including coursework) must be pre-approved by the Conference Team with ample notice.
Student Status
To be eligible for the Wisconsin Union positions, you must be currently enrolled in a college, university, or highschool (at least 16). It is not permissible to hire a person as a student hourly employee if they are taking credits merely to be eligible for student hourly employment. Review UW Policy 5003- Student Hourly Employment for more information. If school is in break period (summer, spring, winter), applicants must intend to enroll in courses the following semester.
