Department Overview:

The UW Madison School of Education Business Office consists of four core pillars: Facilities, Human Resources, Budget & Finance, and Research. The team provides many services to the School of Education, including:
• Providing advice on and approving purchases and reimbursements
• Offering human resource services and consultation for faculty, staff, and student employees
• Managing the school’s payroll and providing benefits information
• Developing and advising departments and units on annual budget
• Assisting with and approving extramural funding processes
• Serving as the liaison with campus for administrative systems and processes
• Managing the School of Education buildings and facilities, the Education Building events, and parking inquiries.

Schedule:

We are looking for students who are available to work during the summer with the ability to continue into the school year. Scheduling is flexible and based on academic availability and operational need.

Position Summary/Job Duties:

Facilities:
1. Maintain building operations by routinely checking on building access and inform & report maintenance issues.
2. Perform opening and closing duties for the Education Building.
3. Initiate work order requests for maintenance issues within the building.
4. Provide facility support, including but not limited to office moves, condition surveys, and other special projects.
5. Maintain key inventory and process requests received for the Education Building.
6. Sort physical mail and deliver packages that arrive from shipping carriers.
7. Enforce SoE policies on access, space use, and safety.
8. Assist with cleaning spills and debris as needed throughout the building.
9. Support all School of Education buildings on campus as needed.

Events:
1. Provide on-site event support by monitoring events throughout the day for setups and tear downs and customer service requests.
2. Provide reservation request support for both the Education Building through our various support options: email, phone, in-person, and by the Event Management System (EMS).
3. Provide EMS support.
4. Move furniture and setup AV for various events and conferences throughout the year.
5. Maintain furniture inventory and storage rooms

AV:
1. Setup, test, operate and troubleshoot audio/video equipment and multi-media presentations for Education Building meeting rooms and Common areas
2. Ability to perform in high stress troubleshooting situations and communicate effectively with customers on their av needs.
3. Maintain knowledge on basic av equipment and software training.
4. Maintain av equipment, storage, and report any issues to supervisor.

Office:
1. Staff the front desk and support with emails, calls, event scheduling, filing, and miscellaneous duties and projects as needed to support the School of Education.
2. Light office and administrative tasks including printing, copying, scanning and filing.
3. Serve as the first point of contact for visitors to the Business Office and provide reception support, including answering phones, assisting walk in customers, receiving deliveries, stocking office supplies.
4. Routinely clean the office suite, kitchen, and front desk for a clean and safe environment.

Physical Demands:

Ability to lift up to 40 lbs, move furniture, walk longer distances
