Department Overview:

SMPH Dean's Office is located on the 4th floor of the Health Sciences Learning Center (HSLC), 750 Highland Ave. right on the Bus 80 route. The HR Services team is responsible for providing centralized human resources services for nearly 8,000 employees within SMPH. The School of Medicine and Public Health has a deep and profound commitment to diversity both as an end itself but, also as a valuable means for eliminating health disparities.

Schedule:

10-15 hours per week during the school year. Up to 30 hours per week during the summer.

Our business hours are Monday to Friday 7:45am-4:30pm. Schedule can be flexible but preferable that schedule will have a minimum block of 3 hours per day at least 3 days a week. The opportunity to work additional hours will be available, and students can work partially outside of business hours if needed.

This position is partially remote with the expectation that the incumbent will work onsite one day per week and as needed when tasks and duties need to be performed onsite. Initial training for the position will take place onsite.

Salary/Wage Range/Lump Sum:

$13.00 - $15.00

Qualifications:

Currently enrolled in an educational institution.

Knowledge, Skills & Abilities:

- A high degree of confidentiality is required.
- Proficiency in internet navigation, Microsoft Office (Word, Excel and PowerPoint) is required.
- Ability to learn new software.
- Ability to work independently and with discretion.
- Excellent verbal and written communication skills.
- Excellent attention to detail and organizational skills.

Position Summary/Job Duties:

This position will assist the Employment Relations Team with administrative tasks, including drafting, preparing, sending and filing confidential documents and communications to employees and work with highly confidential information. This position will assist with maintaining data logs/tracking, saving personnel documents into electronic file storage, organizing files, ER projects, and other tasks as assigned. This is a fast-paced position that will require high confidentiality, great attention to detail and organizational skills, and the ability to work independently.

Examples of duties include:
- Drafting and preparing confidential documents
- Drafting and sending communications to employees on ER related matters
- Data entry
- Saving personnel documents into electronic file storage
- Maintaining and organizing electronic and paper files
- Providing administrative assistance on ER projects, such as creating online content, data analysis, etc.
- Miscellaneous duties as needed

Physical Demands:

Ability to type and sit for a prolonged amount of time.
