Department Overview:
The Dean's Office and Advancement Office at the School of Pharmacy produce a significant number of events for alumni, donors, and internal constituents every year.

Schedule:
This position will average 10 hours per week and lasts for the duration of the 2024-2025 academic year. A regular schedule for each semester is desired, with understandable fluctuation for exams or other scholastic, athletic, or service commitments arranged in advance. Additional hours for events on nights and weekends are a possibility if desired. The student assistant will work at the School of Pharmacy in-person but a small percentage of remote work may be arranged for workplace flexibility. The position may have the option of renewal for summer 2025 and/or the 2025-2026 academic year.

- Familiarity with event planning and an understanding of event planning project management needs - Creation of Microsoft Word mail merges (or willingness to learn) - A strong sense of creativity and ability to translate business needs into design concepts - Friendly demeanor and good communication skills - Ability to manage deadlines and juggle priorities appropriately
Position Summary/Job Duties:
50% Event Support • Work closely with the School of Pharmacy’s Event Coordinator and Alumni Relations & Advancement Coordinator to: o Prepare event materials, such as nametags, table placards, event signage, registration sign-in sheets, or others. o Setup and tear down for events in the School of Pharmacy o Assist with event registration desks or other support needed during events 10% Event Marketing • Use templates to produce flyers, digital ads, email banners, or other graphics as needed for events, programs, or campaigns. • Develop familiarity with the UW brand toolkit and utilize campus branding standards in all pieces • Update and manipulate event registration lists to reflect potential attendees and record accurate attendance 30% Event Documentation • Use a template to produce detailed process documents that outline event stakeholders, timelines, procedures, and roles and responsibilities for major events at the School of Pharmacy. This task includes interviewing event stakeholders to collect information and documenting the processes based on verbal interviews. 10% Other Duties As Assigned • Assist with the creation of mailings, which may include preparing contents, constructing mailings, and applying postage to mail pieces. • Support the Dean’s Office staff, including the Dean’s Executive Assistant and the Administrative Manager, Event Coordinator, and the Alumni Relations & Advancement Coordinator in projects as needed. • Support for events and marketing may be provided to other areas of the School of Pharmacy under the direction of the Dean’s Office or Advancement Office.
