Department Overview:
The Graduate School’s Office of Professional Development and Communications (OPDC), which includes the Delta Program in Research, Teaching, and Learning, coordinates, develops, and communicates learning opportunities to foster the academic and professional skills of all graduate students. We publish the email newsletter GradConnections Weekly, maintain the Graduate School’s web and social media presence, and coordinate messaging to inform graduate students about professional development events and campus resources. Flexible, beginning no sooner than mid-June 2025

Schedule:
20 hours per week (50% appointment), weekdays and occasional hours in early evenings (5:00 – 7:00 pm) to support key events for graduate students such as Welcome Week events (August 25-29, 2025). Schedule to be determined in conjunction with supervisor. 12 months annual appointment, eligible for one-year renewal depending upon funding, tuition remission eligible. Remote work eligibility: Most duties performed onsite; partial remote work 4 hours (1 day/week) for writing, editing, and other responsibilities.

Qualifications:
Enrolled as a graduate student at UW-Madison. Newer PhD degree students (enrolled in PhD program less than 3 years) preferred; master’s degree students will be considered Experience working independently to complete tasks as well as collaborating with others Experience keeping track of details and deadlines Experience communicating effectively and professionally with supervisors, collaborators, and co-workers Excellent writing, proofreading, and editing skills. Please note the resume and cover letter you submit to apply for this position will be considered examples of your ability to write, edit, and proofread. Preferred: Experience writing and editing for a broad, public audience Experience working with an email marketing platform such as Eloqua, MailChimp, Constant Contact, Emma, etc. Experience with event registration forms through Eloqua, Google Forms, Qualtrics, or a similar tool
Knowledge, Skills & Abilities :
Demonstrated ability to use independent initiative and judgment, including the ability to discern relevance for a specified audience. Ability to manage multiple projects at once, create and adhere to timelines, and attend to detail Ability to learn a complex system (such as Eloqua email marketing) and utilize that system to support core functions of the work unit Knowledge of the needs of graduate students, as well as the campus resources and opportunities available for students Knowledge of or willingness to learn digital accessibility best practices for websites, emails, and documents
Position Summary/Job Duties:
40% Edit the weekly graduate student newsletter. Collect and compile newsletter content, adhering to an established voice and style guide. Monitor email performance through analytics. 20% Assist with website content maintenance. Assess and provide feedback on website content and structure. 15% Create event registration forms and automated email reminders using the email marketing tool Eloqua. Enter events into the university’s events calendar. 15% Promote Graduate School events by creating special promotional email campaigns and drafting social media posts. 5% Assist with print material distribution to graduate programs on campus. 5% Provide feedback and generate ideas for engaging graduate students through communication and professional development programming. Participate in meetings, committees, and other activities in the Graduate School.
