Department Overview:

The Department of Family Medicine and Community Health (DFMCH) at the University of Wisconsin is a leading clinical department within the School of Medicine and Public Health (SMPH). DFMCH is dedicated to advancing patient care, education, and research. Our 18 clinics provides primary care to over 175,000 patients yielding over 374,000 patient visits annually, and we train more than 150 residents and 300 medical students each year. Flexible and student-friendly. Work hours will be coordinated around the student’s academic schedule. Opportunities for increased hours may be available during summer and semester breaks, based on mutual availability and operational needs.

Qualifications:

Degree in progress required. Preference will be given to candidates majoring in Accounting, Finance, Business Administration, Operations & Technology Management, or Supply Chain Management.

Knowledge, Skills & Abilities:

Experience in Excel, Smartsheet, and AI applications highly desirable.

Position Summary/Job Duties:

You’ll be part of a collaborative operations team that supports the department’s day-to-day financial transactions. This role is hands-on and detail-oriented: you’ll help intake and organize requests, confirm required information is present, work with team members to troubleshoot exceptions, and keep records clean and audit-ready. You’ll partner directly with staff on the Financial Operations team, learn the “why” behind the process, and contribute to a service mindset that values accuracy, responsiveness, and continuous improvement.

You’ll be trained and supported by the Financial Operations team and will contribute to work such as:
• Transaction support: Assist with purchasing, reimbursements, invoice processing, and related documentation tracking (step-by-step training provided).
• Data & quality checks: Review submissions for completeness, verify required details, and flag missing information so transactions can be processed efficiently.
• Customer service & coordination: Communicate with faculty/staff and internal team members to resolve questions, gather needed details, and keep items moving.
• Records & organization: Maintain well-organized electronic files and logs; help ensure documentation is stored consistently for audit and reference needs.
• Other support as needed: Assist with special projects, reporting requests, or peak-volume processing periods.
