Department Overview:

International Student Services (ISS) serves students on F-1 and J-1 student visas. We provide advising, activities, and advocacy for international students on the UW-Madison campus and in the community. International Student Services recognizes international students as a vital part of UW–Madison. We are committed to educating and empowering students to make informed decisions and working with them to advocate for a globally inclusive community. The Global Engagement Team seeks to intentionally and holistically support international students, campus, and the Madison community through coordinating events and programs that foster a sense of belonging, promote advocacy, and enhance global engagement.

Schedule:

Weekly scheduled shifts that are decided between student intern and their supervisor plus some evening and weekend work for events. These evening and weekend shifts will be scheduled in advance so you can plan accordingly.

Qualifications:

1. Currently enrolled as a graduate student at the University of Wisconsin-Madison.

2. Focus on higher education, student affairs, or finance preferred, but applicants from all areas of study are encouraged to apply.

Knowledge, Skills & Abilities:

1. Strong organizational skills with the ability to handle multiple tasks and time-sensitive deadlines.

2. Excellent attention to detail and accuracy in record-keeping, especially in a grant management context.

3. Familiarity with grant management processes or an eagerness to learn about grant administration.

4. Effective communication skills, both written and verbal, to assist applicants and grant recipients professionally.

5. Proficiency in Microsoft Suite, Zoom, and social media platforms.

6. Demonstrated ability to work independently as well as collaboratively in a team setting.

7. Prior experience with event planning, project coordination, or managing a budget is preferred.

8. Familiarity with student organizations at the University of Wisconsin-Madison is a plus.

Position Summary/Job Duties:

1. Assist with the overall management of the grant process in collaboration with the ISS International Engagement Coordinator responsible for administering the grant.

2. Familiarize yourself with the GBE Grant Policy Manual to understand the eligibility criteria and application process.

3. Manage grant email inbox and assist applicants in navigating the online application process by providing guidance and answering queries.

4. Review and evaluate grant applications for completeness and adherence to the grant guidelines, utilizing the grant manual and training information.

5. Maintain a comprehensive database of grant applications, ensuring accurate and up-to-date records of all submissions and assist with budget management.

6. Collaborate with registered student organizations (RSOs) and the International Engagement Coordinator to organize and schedule grant review meetings.

7. Conduct regular follow-ups with grant recipients to ensure timely completion of post-event assessments and the closing of the grant process.

8. Collaborate with the Global Engagement Team (GET) to gather feedback on the applicant experience and improve grant processes based on evidence-based assessment.

9. Promote the GBE Grant through webinars, presentations, social media, website, and targeted email outreach.

10. Support ISS events, including nights and weekends as needed.

Physical Demands:

Able to sit for long period in an office or stand for a few hours at an event. Ability to lift 15 lbs and push/pull a cart would be helpful.
