Department Overview:

You will gain in-depth, practical knowledge of communications tools and strategies, better understand the local and national graduate education landscape, and develop leadership skills important for future roles. in summary of the position.

The Graduate School provides services, programming, and advocacy for the 11,000+ graduate students enrolled in master’s and doctoral programs and for postdocs at UW–Madison. As a central administrative unit on campus, the Graduate School works with students from recruitment and admission through degree completion. Schedule:

 15 hours per week, set schedule on weekdays during business hours. Must be available for at least 3 hours on Mondays for newsletter production. Schedule to be determined in conjunction with supervisor.

Qualifications:

 - Currently enrolled undergraduate or master’s student at UW–Madison (or will be enrolled at the start of the fall semester on Sept. 2, 2026.
- Experience working independently to complete tasks.
- Experience collaborating with others on a team.
- Demonstrated ability to keep track of details and deadlines.
- Experience communicating effectively and professionally with supervisors, collaborators, and co-workers.
- Great writing, proofreading, and editing skills. Your resume and cover letter will be considered examples of your ability to write, edit, and proofread. You can receive help with your resume and cover letter from your school/college career services, the Writing Center, or by browsing the Writing Center's Writer's Handbook.
- Interest in communicating research and scholarship to a broad, non-scholarly audience.

Preferred:
- Major, coursework, or experience in journalism, life science communication, communication arts, English, or a related field.
- Experience creating social media content for an organization or group.

Knowledge, Skills & Abilities:

- Demonstrated ability to use independent initiative and judgment, including the ability to discern relevance for a specified audience.
- Ability to manage multiple projects at once, create and adhere to timelines, and attend to detail.
- Ability to learn a new technology platform/system and utilize that system to support core functions of a class, group, or work unit.
- Willingness to learn, or knowledge of, digital accessibility best practices for websites, emails, and documents.

Position Summary/Job Duties:

40% Produce and edit the weekly graduate student newsletter. Curate newsletter content based on understanding of graduate students’ needs, available professional development support on campus, and external funding agencies. Prepare the newsletter to send on a regular, weekly schedule each Tuesday.

25% Write news stories about graduate students and their research/scholarship for the Graduate School’s communication channels.

20% Promote Graduate School news, resources, programming, and funding opportunities by creating social media posts and creating special promotional email campaigns.

10% Support Graduate School event communications and platforms by maintaining the events spreadsheet, creating event registration forms, publishing calendar listings, and maintaining the DiscoverPD professional development database.

5% Discuss goals for personal and professional development with supervisor each semester to identify opportunities for projects and learning experiences that work toward those goals.

Physical Demands:

Able to handle long periods at a desk working on a computer.
